## Inbox Health Monitoring

Cold email infrastructure depends on knowing whether your inboxes are actually performing. Before v1.5, most users relied on indirect signals to guess inbox health.

ColdSend now auto-calculates and stores a historical health score for every inbox. The score is based on deliverability trends, engagement patterns, reply rates, bounces, and spam folder placement.

## AI Tagging of Incoming Replies

The Unibox consolidates replies across all inboxes, but high-volume users were spending significant time manually categorizing responses — sorting by intent, sentiment, and next steps.

ColdSend now **auto-tags incoming replies using AI**. The system reads each reply, classifies the intent and sentiment, and applies a tag automatically.

Tags are filterable and can be used to build automations. The classification model improves over time as it learns your specific reply patterns.

The v1.0 analytics were limited to basic send and delivery counts. v1.5 ships a full analytics screen covering:

## Ramp Up: Controlled Sending

Sending 500 emails on day one from a new inbox damages deliverability. Most providers address this by selling "warmup" services that send fake emails for weeks. ColdSend takes a different approach.

**Ramp Up** is a campaign-level feature that automatically starts with a low daily send volume and increases it based on inbox health signals.

The building block of every ColdSend plan is one **Infra Bundle**. It is the same atom whether you are on Growth, Scale, or Agency.

**One Infra Bundle gives you:**

## BYOA vs DFY: Who Runs the Azure Account

Every Infra Bundle runs on Azure Communication Services — Microsoft's enterprise email infrastructure. The only decision beyond picking a tier is **who owns and manages the Azure account** that powers your atoms.

**BYOA (Bring Your Own Azure):**
- You create the Azure account. You pay Microsoft directly (~$2/month).
- You own the tenant, the IPs, and every inbox created there.
- ColdSend automates the setup (DNS, inbox creation, monitoring) on top of your account.
- Takes about 5 minutes. Follow [our setup guide](https://www.coldsend.pro/help/azure-byok-setup-guide).
- The cheaper option. Full infrastructure ownership.

**DFY (Done For You):**
- We create and manage the Azure account for you.
- No Azure portal. No Microsoft bill. No setup steps.
- It is bundled into your plan price.
- You still own the inboxes and can export them anytime — but the Azure tenant is managed by us.
- Costs $20–$100 more per month depending on the tier.

**Why both exist:** Some users want total control and ownership (BYOA). Others just want to send emails and never think about Azure (DFY). The toggle lets you switch between them anytime without changing tiers.

If you already have an Azure account for other services, BYOA is the obvious choice — reuse it and pay ~$2/month. If the words "Azure portal" make you nervous, pick DFY and let us handle it.

**"What is an Infra Bundle?"**

It is the atom of every ColdSend plan. One Infra Bundle = 4 domains, 100 inboxes per domain (400 total), 100K emails/month, pre-warmed IPs. Growth and Scale each include 1. Agency includes 2 and lets you add more at $49/mo (BYOA) or $99/mo (DFY) each.

**"What is BYOA and what is DFY?"**

BYOA = Bring Your Own Azure. You create the Azure account, pay Microsoft ~$2/month, and own everything. DFY = Done For You. We create and manage the Azure account for you, included in your plan price. You can switch between them anytime.

**"Do I need an Azure account?"**

Only if you choose BYOA. With DFY, we handle it — you never touch the Azure portal. With BYOA, you create one Azure account (~$2/month from Microsoft) and ColdSend automates everything on top. It takes about 5 minutes.

**"What is a slot?"**

A slot is a platform permission to attach one Infra Bundle. Each slot = 4 domains, 400 inboxes, 100K sends. Growth and Scale each include 1 slot. Agency includes 2 slots and lets you add more at $49/mo (BYOA) or $99/mo (DFY).

**"Can I import my own Gmail or Outlook inboxes?"**

Yes, on any plan. Imported inboxes are separate from Infra Bundle slots — you can mix pre-warmed Azure IP inboxes with your existing Google/Outlook/SMTP inboxes on any tier. Imported inboxes do not count against your Infra Bundle send limit.

**"What happens if I exceed my email limit?"**

Growth and Scale include 100K emails/month (1 Infra Bundle). Agency includes 200K (2 Infra Bundles). If you need more, add Infra Bundles to Agency ($49/mo BYOA each — each adds 100K). You can also rotate volume to imported inboxes, which do not count against your Infra Bundle limit.

**"Are there any setup fees?"**

No. You pay the monthly plan price. Azure costs ~$2/month if you choose BYOA. That is it. No upfront costs, no initiation fees, no per-client charges.

**"Can I upgrade or downgrade later?"**

Yes. Start on Growth, upgrade to Scale when you need API or team seats, or jump to Agency when you need a second Infra Bundle and higher volume. Switch between BYOA and DFY anytime.

People worry about lock-in. It is a fair concern. Here is exactly what happens to your mailboxes if you cancel ColdSend, and what you should do beforehand.

## What You Actually Own

ColdSend uses a BYOA model: Bring Your Own Azure. You create the Azure account. Microsoft bills you directly. ColdSend just automates the setup on top of it.

This means:
- The Azure tenant is yours.
- The domains are yours (you bought them).
- The inboxes live in your Azure account.

ColdSend does not own your infrastructure. We cannot delete your Azure account. We cannot take your domains. We cannot lock your inboxes.

## What Stops Working

When you cancel ColdSend, the following stops:

- **ColdSend's sequencer.** You can no longer log into coldsend.pro to send campaigns.
- **Automation.** Inbox creation, DNS management, and bulk provisioning stop.
- **SMTP Export relay and bulk CSV credentials that route through smtp.coldsend.pro.** These are deactivated for any inbox we provisioned for you. The gateway will reject authentication after cancellation.
- **Support.** We no longer answer your questions.

## What Keeps Working

What keeps working depends on your inbox type:

**For imported Workspace inboxes (Gmail, Outlook, SMTP):**
- Your inboxes remain fully functional in their original provider.
- Your SMTP and IMAP access continue to work directly with Google, Microsoft, or your SMTP host.
- ColdSend was only the sequencer — removing it does not touch your inboxes.

**For ColdSend-provisioned inboxes (Mailcow on our infrastructure):**
- The mailboxes themselves still exist on our Mailcow server.
- You can still access them via IMAP at mail.coldsend.pro if you have valid credentials.
- However, the SMTP relay (smtp.coldsend.pro) is gated by your subscription. You cannot send through our relay after cancellation.
- The bulk CSV export and SMTP Export credentials both route through this relay and will fail auth.

**For BYOA Azure ACS inboxes (if applicable):**
- Your inboxes remain in your Azure Communication Services resource.
- You can manage them directly in the Azure portal.
- Your Azure tenant stays active as long as you pay Microsoft.
- Your domains and DNS records remain configured as you set them.

## How to Export Before Canceling

Do this before you cancel. Afterward, you lose access to ColdSend's export tools.

**Step 1: Bulk export all inboxes**

1. Go to **Sender Accounts** in ColdSend.
2. Select all inboxes.
3. Click **Actions** → **Export**.
4. Save the CSV file securely.

The CSV contains different fields depending on inbox type:

**For ColdSend-provisioned inboxes:**
- Email address
- App password (freshly generated for SMTP export, shown once)
- SMTP server: `smtp.coldsend.pro`
- SMTP port: `587` (STARTTLS)
- IMAP server: `mail.coldsend.pro`
- IMAP port: `993` (SSL/TLS)

**For imported Workspace inboxes:**
- Email address
- Mailbox password (decrypted stored password)
- SMTP server: provider-specific (e.g., `smtp.gmail.com`)
- SMTP port: `587` (STARTTLS)
- IMAP server: provider-specific (e.g., `imap.gmail.com`)
- IMAP port: `993` (SSL/TLS)

**Step 2: Save SMTP Export credentials**

If you enabled SMTP Export on individual inboxes, save those credentials for reference. Note: these are relay passwords for `smtp.coldsend.pro` and are only usable while your subscription is active. Exporting them is useful for backup or audit, not for continued sending after cancellation.

**Step 3: Note your DNS settings**

If you plan to manage the domains yourself later, record your current SPF, DKIM, and DMARC records. These are configured at your registrar or DNS provider, not in ColdSend.

## How to Keep Using Your Inboxes

**Option 1: Use imported inboxes in another sequencer**

If you imported Gmail, Outlook, or SMTP inboxes, you can reconnect them to Smartlead, Instantly, or any other tool immediately. Use the provider-specific SMTP/IMAP settings from your export.

**Option 2: Use ColdSend-provisioned inboxes in an email client**

Configure Thunderbird, Apple Mail, or Outlook with the IMAP settings from your CSV (`mail.coldsend.pro`, port 993). You can read replies this way. However, you cannot send through `smtp.coldsend.pro` after cancellation because our relay requires an active subscription.

**Option 3: Manage BYOA inboxes directly in Azure**

If you set up BYOA with your own Azure ACS tenant, you can access your Azure Communication Services resource directly in the Azure portal and manage inboxes there. This requires Azure knowledge but gives you full control.

**Option 4: Let them sit**

If you are done with the inboxes entirely, just stop paying Azure (for BYOA) or let the ColdSend-provisioned accounts go inactive. There is no penalty for inactive inboxes.

## If You Only Used Imported Inboxes

If you only imported your own Gmail, Outlook, or SMTP inboxes (no Infra Bundle slots), nothing changes when you cancel ColdSend. Those inboxes were always yours. ColdSend was just the sequencer.

You can reconnect them to any other tool immediately.

## Bottom Line

Canceling ColdSend does not delete your infrastructure. It removes our automation layer and our SMTP relay access.

Your Azure account, your domains, and your imported inboxes stay yours. For ColdSend-provisioned inboxes, the mailboxes still exist but you cannot send through our relay without an active subscription. Export your credentials before canceling, understand which parts depend on our gateway, and plan accordingly.

This is the point of BYOA. You are not renting our infrastructure. You are automating yours. Our relay is a convenience feature tied to your subscription — your data and your provider inboxes remain fully yours.

The last announcement in our [Discord server](https://discord.gg/KfTDuam6wf) said that the new backend will be ready by the 20th (with a cheeky "tentative" in the parentheses, in our defense). It's the 22nd now and I'm sure (hope) everyone is waiting for an update.

**TL;DR we dun goof'd hard and vibe coded the first backend which broke a lot of things and are 98% done with the new backend and currently in the testing phase.**

## The Backstory: How ColdSend Started

Once upon a time, I was trying to crack cold outreach for a $60/mo product. When I did the math, nearly all the existing solutions – [Instantly.ai](https://instantly.ai/), [Smartlead.ai](https://www.smartlead.ai/), [Lemlist](https://www.lemlist.com/), etc. – were in the ballpark of $1500/mo for "at-scale" (i.e., 10k) campaigns. The biggest expenditure was of course lead lists; 2nd biggest, infra; 3rd, sending.

That ticket size didn't make sense unless I could convert at least 25 people out of the 10k. Risky move. And that's not including the personnel cost of course (I mean, yes founders are unpaid but still).

Being engineers, we (as in, me and [Hamza](https://www.linkedin.com/in/hamza-maqsood-a278371a5/)) actually reverse-engineered [Hypertide](https://www.hypertide.io/). How could they offer 8 inboxes for just $30/mo? Yes, there was a $1500 one-time setup fee which more or less offset the cost but surely, it was still a steal given the industry standard.

We realized we could essentially build an automated Hypertide without the setup fee and with even better automation. The key insight: instead of managing Azure infrastructure ourselves (which hit subscription limits), we'd let users bring their own Azure accounts. This BYOA (Bring Your Own Account) model gives you full infrastructure ownership while we handle the automation.

One late night at 2 AM while I was doomscrolling, Hamza texted me something like:
"Bro, I think we don't need warmups. I figured out a way".

And that was that. I didn't believe it at first but it was Hamza, and he usually has amazing revelations. Usually. So I told him to put it to the test.

He hacked together a really shitty MVP, entirely vibe coded that looked like this:

But ... it worked. We sent 1,000 emails in a couple days. Got 60%+ opens, 10%+ replies. Actual human replies. We continued testing. One time, the scheduler bugged out and sent the same email five times to everyone and people replied to it. Like, some variant of "fuck off". But the fact they replied meant the emails landed. In primary.

That was the validation we needed.

It was at this time that we decided to onboard [Zeeshan](https://www.linkedin.com/in/szas1/) as the 3rd co-founder. Zeeshan is the product design mastermind behind several $10M+ ARR products that you probably have never heard of unless you're a genAI degenerate – ok it's [Imagine.art](https://www.imagine.art/) and [Chatly](https://chatlyai.app/). And several more.

The biggest problem with our vibe-coded MVP, or what we thought was the biggest problem, was ... the design. It sucked. And coming from almost a year of vibe coding microSaaS, I knew no amount of vibe coding can match an actually deliberately designed product.

My only request to Zeeshan: "Dude, please keep it simple". And he did. He designed the entire frontend within a week, then we hacked it together in a couple weeks and made it live ... on August 1st.

## What Went Wrong

From this point on, you probably know the story. The product worked. But barely.

We knew things would break which is why we decided to offer a free trial to everybody in the beta. The problem was ... every fix made other things worse.

And the biggest problem was the scheduler, which at this point was very complicated (we tried building the world's first scheduler that can be paused at any time – and failed; but succeeded later on, hopefully). And unscalable.

We could keep on trying to fix the slop or rewrite the whole thing.

**We rewrote the whole thing.**

## What We've Been Building: v1.0 Features

The problem with rewriting the entire backend is that we cannot release updates incrementally. It will come as an avalanche. For starters, this is what works on staging right now:

## What's Left: Testing Phase

Testing. We need to make sure the scheduler doesn't break when it has to send millions of emails (we're doing it via simulation right now, of course).

So far, it's going good. Once all tests are cleared, we'll do one final round on staging by running actual campaigns. And then ... the big release.

## Why We're Doing This

## How to Get Your 3 Conversions

You need to get 3 people to subscribe to the Agency plan. Here's the straightforward approach:

**Option 1: Run it inside ColdSend (Recommended)**

Use your own bought domain. Don't use ours — your campaign needs to look authentic.

Our ideal customers are:
- Lead generation agencies
- Sales teams at technology companies
- Anyone running cold email campaigns regularly

Target them. Write a campaign about how ColdSend solves warmup problems (because it does). Send it via ColdSend itself.

**Option 2: Do it on your own sequencer**

If you prefer running campaigns outside ColdSend, that works too. See the outside referrals section below.

**What counts as a conversion:**

- New subscriber to the Agency plan
- Must be a genuine new signup (not you with different emails)
- Must complete payment

## Outside Referrals

If you refer people from outside a ColdSend campaign — word of mouth, social media, your own sequencer — we count those differently.

**Outside referrals = half credit**

So if you can't run the campaign inside ColdSend, you'd need:
- 6 outside referrals to equal 3 ColdSend conversions

We recommend running it inside ColdSend because:
1. We can verify the campaign easily
2. It proves you're actually using our product
3. It's more aligned with what we're trying to build

## The 90-Day Check

Here's the one catch: we want real users, not fake signups.

After 90 days, we check if your referrals are still subscribed.

**If 2 or more of your 3 referrals have cancelled:**
- Your discount gets revoked

This is basic fraud prevention. We're giving you 30% off forever. In exchange, we want 3 real users who stick around.

If one cancels, you're fine. If two cancel, the discount goes away. For outside referrals, if 4 or more unsubscribe the discount will be revoked.
